This Privacy Policy explains how P2P Coffee ("P2P Coffee,” "Company,” "we,” "us,” or "our”) collects, uses, stores, shares, and protects personal information when you visit or use our website, marketplace, seller tools, buyer tools, request-for-quote features, sample request forms, account pages, messaging tools, and related services (collectively, the "Service” or "Marketplace”).

P2P Coffee is a peer-to-peer coffee marketplace designed to help coffee producers, exporters, roasters, importers, buyers, and other coffee industry participants connect, communicate, request samples, negotiate commercial terms, and explore direct trade opportunities.

By using the Marketplace, creating an account, submitting information, contacting sellers or buyers, requesting a quote, requesting samples, subscribing to communications, or otherwise interacting with the Service, you agree to the practices described in this Privacy Policy.

This Privacy Policy is intended to replace the default Yo!Kart template language and should be reviewed by qualified legal counsel before publication.


1. Interpretation and Definitions

Account

An Account means a unique profile created by a buyer, seller, business representative, or other user to access parts of the Marketplace.

Buyer

A Buyer means a user, company, roaster, importer, trader, or other organization that uses the Marketplace to search for coffee, contact sellers, request quotes, request samples, or purchase coffee-related products or services.

Seller

A Seller means a coffee producer, cooperative, exporter, trader, farm, estate, or other business that lists coffee, samples, services, or related offerings on the Marketplace.

Marketplace

The Marketplace means the P2P Coffee website, platform, seller listings, product pages, sample request features, RFQ tools, messaging tools, account dashboards, and related services.

Personal Data

Personal Data means information that identifies, relates to, describes, or can reasonably be associated with an identified or identifiable person.

Business Data

Business Data means information about a company, farm, cooperative, buyer, seller, or commercial entity, including business name, country, product offerings, company description, certifications, export information, and commercial preferences. Some Business Data may also qualify as Personal Data if it identifies an individual.

Service Provider

A Service Provider means a third-party company, contractor, or individual that processes information on our behalf, such as hosting providers, payment processors, email providers, analytics providers, customer support tools, logistics partners, or technical vendors.

Usage Data

Usage Data means information collected automatically when you access or use the Marketplace, such as IP address, browser type, device type, pages visited, time spent on pages, referring URLs, and similar diagnostic or analytics information.

You

You means the individual accessing or using the Marketplace, or the company or legal entity on behalf of which such individual accesses or uses the Marketplace.


2. Information We Collect

We collect information directly from you, automatically through your use of the Marketplace, and, in some cases, from third parties involved in marketplace transactions or communications.

2.1 Information You Provide to Us

We may collect the following information when you create an account, register as a buyer or seller, submit a form, request a quote, request samples, contact another user, subscribe to communications, or otherwise use the Marketplace:

  • Name

  • Email address

  • Phone number

  • Company or organization name

  • Business address or country of operation

  • Shipping or delivery address

  • Billing information

  • Account login credentials

  • User role, such as buyer, seller, producer, roaster, importer, exporter, or administrator

  • Product listing information

  • Coffee origin, variety, processing method, harvest information, lot information, grading information, certifications, and other product details

  • Quote requests, sample requests, order inquiries, and commercial preferences

  • Messages, inquiries, or communications sent through the Marketplace

  • Documents or files you upload, such as product sheets, certificates, images, logos, or business documentation

  • Newsletter or marketing preferences

  • Customer support communications

2.2 Seller Listing and Product Information

If you are a Seller, we may collect and display information you provide for your seller profile or product listings, including:

  • Seller name, farm name, cooperative name, or company name

  • Country, region, or origin information

  • Coffee product descriptions

  • Photos or media uploaded by the Seller

  • Certifications, processing methods, harvest details, availability, pricing preferences, sample availability, and export capabilities

  • Public contact or inquiry options, if enabled

Some seller information may be visible to Buyers and other Marketplace users.

2.3 Buyer Inquiry, RFQ, and Sample Request Information

If you are a Buyer, we may collect information related to quote requests, sample requests, and inquiries, including:

  • Products or sellers you are interested in

  • Requested quantity

  • Desired sample size

  • Shipping destination

  • Preferred delivery terms

  • Business type

  • Intended use

  • Message or inquiry details

  • Any other information you choose to submit in a request

This information may be shared with the relevant Seller so the Seller can respond to your request.

2.4 Transaction and Payment Information

P2P Coffee may directly process payments and may also facilitate RFQs, sample requests, and commercial transactions between Buyers and Sellers. When payments, sample orders, commissions, or paid services are enabled, we may collect information required to process transactions, such as:

  • Billing details

  • Payment method details

  • Transaction amounts

  • Invoice details

  • Order history

  • Refund or dispute information

  • Tax or compliance information, where applicable

We do not intentionally store full payment card numbers unless required and permitted through a secure payment provider. Payment processing features may be added or updated over time and may be subject to separate payment terms or provider policies.

2.5 Usage Data and Technical Information

When you use the Marketplace, we may automatically collect Usage Data such as:

  • IP address

  • Browser type and version

  • Device type

  • Operating system

  • Pages visited

  • Time and date of visit

  • Time spent on pages

  • Referring website or source

  • Unique device identifiers

  • Error logs and diagnostic data

  • Approximate location derived from IP address

We use this information to operate, secure, analyze, and improve the Marketplace.

3. How We Use Your Information

We may use Personal Data and Business Data for the following purposes:

3.1 To Provide and Operate the Marketplace

We use information to:

  • Create and manage user accounts

  • Allow Sellers to create profiles and listings

  • Allow Buyers to search for coffee and contact Sellers

  • Process RFQs, sample requests, inquiries, and orders

  • Facilitate marketplace communications

  • Provide customer support

  • Maintain platform functionality

  • Verify account activity and prevent abuse

3.2 To Facilitate Buyer-Seller Communication

Because P2P Coffee is a marketplace, certain information may be shared between Buyers and Sellers when needed to respond to inquiries, requests, sample requests, RFQs, orders, or commercial discussions.

For example, if a Buyer submits a sample request for a Seller’s coffee, we may share the Buyer’s name, company, contact details, shipping destination, and request details with that Seller.

3.3 To Process Transactions and Commercial Requests

If payments, sample orders, commissions, or paid marketplace services are enabled, we may use information to:

  • Process payments

  • Generate invoices

  • Confirm orders

  • Coordinate sample shipments

  • Manage refunds or disputes

  • Calculate marketplace fees or commissions

  • Comply with tax, accounting, or legal obligations

3.4 To Communicate With You

We may contact you by email, phone, SMS, WhatsApp, platform notifications, or other communication channels for purposes such as:

We do not sell your Personal Data in the ordinary sense of selling a customer list for money. However, we may share information as described below.

4.1 Between Buyers and Sellers

We may share information between Buyers and Sellers when needed to facilitate marketplace interactions, including inquiries, RFQs, sample requests, commercial negotiations, orders, internal user-to-user messaging, and customer support.

4.2 With Service Providers

We may share information with Service Providers who help us operate the Marketplace, such as:

  • Website hosting providers

  • Marketplace software providers

  • Payment processors, if enabled

  • Email and newsletter providers, if enabled

  • Analytics providers, if enabled

  • Customer support tools, if enabled

  • Security and fraud prevention tools

  • Logistics or shipping providers, if enabled

  • Professional advisors, such as lawyers, accountants, or consultants

Service Providers may process information only as necessary to provide services to us or as otherwise permitted by law.

4.3 With Payment and Logistics Partners

If payments, order processing, sample shipments, or logistics coordination are enabled, we may share relevant information with payment processors, banks, courier companies, freight forwarders, customs brokers, or logistics providers as necessary to complete the transaction or shipment.

5. Public and Marketplace-Visible Information

Certain information may be visible to other users or the public, depending on how the Marketplace is configured.

For Sellers, public or marketplace-visible information may include seller profiles, company or farm names, product listings, photos, origin details, certifications, and other listing content. The Marketplace may allow both public seller profiles and private seller profiles, depending on account settings, marketplace configuration, and the seller’s selected visibility options.

For Buyers, information submitted in RFQs, sample requests, orders, or internal messages may be visible to the relevant Seller and marketplace administrators.

You should not submit confidential, proprietary, or sensitive information through public listing fields or messages unless you are comfortable sharing it with the intended recipient.


6. International Users and Cross-Border Transfers

P2P Coffee is designed for international marketplace activity. Your information may be processed in Costa Rica, the United States, the European Union, or other countries where we, our Service Providers, Sellers, Buyers, or technical partners operate.

Data protection laws may vary by country. When we transfer Personal Data internationally, we will take reasonable steps to protect it in accordance with this Privacy Policy and applicable law.


7. Legal Bases for Processing Where Applicable

If we rely on Service Providers located outside your jurisdiction, we will take reasonable steps to ensure appropriate safeguards are in place where required.

Users are responsible for ensuring that the information they provide through the Marketplace is accurate, lawful, and appropriate for the intended purpose.

Sellers and Buyers who receive Personal Data through the Marketplace must handle that information responsibly and in accordance with applicable privacy, commercial, and data protection laws.

Users should not use information obtained through the Marketplace for spam, harassment, fraud, unlawful marketing, or any purpose unrelated to legitimate marketplace activity.

We may update this Privacy Policy from time to time. When we make changes, we will post the updated Privacy Policy on this page and update the "Last Updated” date.
